Summary:
Embedded within HHMI’s Center for the Advancement of Science Leadership and Culture, Cultural Innovations (CI) programs and activities focus on building new and innovating existing models to improve how people experience the science ecosystem. The primary goal of CI programs and activities is to empower scientists to create and sustain healthy research environments in which everyone can learn, contribute, and thrive. The CI team develops and manages a portfolio of emerging programs and activities that include scientific professional development programs, an ideas incubator lab, and learning seminar series.
The Senior Program Assistant will add to and support the CI team in all aspects of the planning, delivery, and administration of CI initiatives. They will work under the supervision of the CI Director and collaborate with all CI team members, including Senior Program Lead and Special Projects Manager. They will exhibit high levels of self-motivation, organization, attention to detail and accuracy, and a willingness to learn. The Senior Program Assistant will possess excellent interpersonal skills enabling them to work effectively as a team member. They will use their organizational skills to multi-task and prioritize effectively. They can also adapt and respond to change in a constructive and effective manner.
This role will report in person to our headquarters in Chevy Chase, MD two days each week.

What you’ll do:
-
Provide support to the CI Director and team members in the ongoing administration of CI initiatives;
-
Provide accurate and timely support including document preparation, review and distribution, and data entry;

Plan, implement, and support online and in-person meetings and conferences;

Effectively work with persons in other HHMI departments, including Conference Services, Travel, Finance, Business Solutions, General Counsel, People & Culture, and Communications;

Manage document organization, maintenance and storage of documents and other information, and internal electronic databases;

Respond to inquiries from prospective program applicants, grantees and fellows, and Institution personnel;

Process travel and expense reimbursements, payments, and reconcile expenses using HHMI’s electronic vendor payment system;

Connect with partners at all levels within and outside the Institute;

Provide additional support of CI activities, as requested.
What you bring:

Bachelor’s degree or combination of education and related experience.
-
Minimum three years administrative experience in a related field.

Database management and/or learning management systems (LMSs) experience preferred.

Proficiency in Microsoft Office 365 applications, especially excel, and expert use of Zoom and other online tools that facilitate person-to-person interaction.

Ability to manage tasks for a variety of projects.

High degree of emotional intelligence as exhibited through excellent interpersonal skills, self-awareness, and the ability to work collectively across diverse teams and partners.
